  • Name and email address (account registration and authentication)
  • Mobile phone number (WhatsApp attendance confirmation and backfill notifications)
  • Employee code (roster identification, provided by your employer)
  • Roster and attendance data (shift assignments, confirmation status, swing history)
  • Device and browser information (for security and platform functionality)

How we use it

  • To create and manage quarterly rosters for your crew
  • To send attendance confirmation messages via WhatsApp before each swing
  • To send backfill offers when a crew member is unavailable
  • To notify superintendents of attendance status changes
  • To authenticate your identity when signing in
  • To improve the platform based on usage patterns

Third-party services

We use the following services to operate the platform:

  • Twilio: WhatsApp messaging delivery
  • Vercel: application hosting
  • Google: email delivery (SMTP) and authentication

Your personal information is shared with these providers only to the extent necessary to deliver the service. We do not sell your data to third parties.

Data storage and security

Your data is stored in encrypted databases. Access is restricted to authorised personnel within your organisation's tenant. Each tenant's data is isolated. Your employer's roster data is not visible to other organisations on the platform.

Your rights

You can:

  • Request a copy of your personal data
  • Request correction of inaccurate data
  • Request deletion of your account and associated data
  • Opt out of WhatsApp confirmations by replying STOP to any message

Data retention

We retain your data for as long as your organisation maintains an active account. Roster history is retained for compliance and audit purposes. When an organisation closes their account, all associated data is deleted within 90 days.

Changes to this policy

We may update this policy from time to time. Material changes will be communicated via the platform or email. The "last updated" date at the top reflects the most recent revision.
